The Archives and Records Center at Prince Sattam Bin Abdulaziz University in Al-Kharj is one of the key pillars in the administrative and academic system. Established in 1430 AH under Cabinet Resolution No. (139), the center was created to regulate the handling and circulation of official documents within government entities.
The center aims to achieve excellence in managing archives and records in line with best practices and national and international standards. Its mission focuses on effective and organized document management to ensure preservation, easy accessibility, and support for administrative and academic operations across the university.
Strategic objectives include implementing the official records system and its regulations through collecting, organizing, preserving, and facilitating access to documents when needed. The center also works to reduce unnecessary document production, improve document quality, standardize similar records for better performance, automate administrative processes, and promote archival awareness among university staff.
Through its strategic plans, the center applies the highest global standards in indexing, classification, coding, and digital scanning of documents, ensuring technical integration with the National Center for Archives and Records.
Its responsibilities extend to preventive maintenance of documents, providing accurate data to beneficiaries, and documenting the administrative history of the university, including its development stages and national projects.
In terms of governance, the center coordinates administrative and technical work for permanent records committees and evaluation and disposal committees, ensuring compliance with official document regulations across all administrative units. It also collaborates with relevant departments to prepare storage facilities and develop preventive measures to protect historical documents from risks.
The organizational structure consists of four specialized units: Active Records Unit, Semi-Active Records Unit, Permanent Records Unit, and Confidential Records Unit.
To enhance human capabilities, the center prioritizes training and qualifying its staff to keep pace with the latest international standards in records management, ensuring ambitious annual work plans that meet university needs and contribute effectively to achieving digital administrative transformation.
